If you choose topic A: What is important when selecting a secretary for the general manager?
    When selecting a secretary for the general manager, we must first check the C. V. of the potential candidates and see whether they have the qualifications required for this demanding job. An ideal candidate should have good educational background and have been trained adequately with office skills and public relations.
    Related work experience is another important factor. Years of practice makes a secretary more skillful in office work. Young people may have the energy and attractive appearances they regard as advantages for secretary jobs: however, they are not mature enough to deal with the complicated relationships around the general manager. Nevertheless, a youthful and graceful looking face is always considered a plus for the secretary job.
    In addition, the secretary should have a good personality which is important in smoothing the communication with the general manager and other staff members.
If you choose topic B: What is important when cancelling a business meeting?
    When cancelling a business meeting, you should first apologise for the cancellation because it has affected the participants’ schedules and caused inconvenience in rearranging their business timetables. A meeting should not be cancelled unless there are no alternatives.
    Following the apology, you should tell the participants the persuasive reasons for cancelling the meeting and expect to get understanding from them. Normally, participants will show their understanding and tolerance if they are told the truth.
    Sometimes the meeting is cancelled suddenly when some participants have already arrived at the meeting venue or on the way to it. In this case, a compensation plan should be worked out to make up the time and financial loss of the participants.
    Finally, every meeting has a target, and the target doesn’t go away with the cancellation. Therefore, the new dates of meeting may as well be suggested with the cancellation notice.

    It is important to motivate staff to increase their productivity and their contribution to the company. The inspired staff tend to find work more of a joy than just a means to pay the bills. There are a lot of ways to help to motivate staff. The most common and important one is to give bonuses because we live in a material world and money talks. Occasional stimuli of money will push staff move forward.
    Meanwhile, a pleasant work environment is important in motivating staff because people like staying in a clean and orderly office where they can do some serious thinking and locate the things they need quickly. A well-equipped office will save staff’s time for more meaningful and creative work. Besides, a friendly work environment also contributes greatly to the staff performance. Team spirit and trusty colleagues will always bring everyone the joy of work.
